There is no denying it. CRM systems are invaluable to companies in today’s extremely competitive markets. But what is it? Well, CRM stands for customer relationship management. So CRM systems basically track all the information you have about your customers. There are a lot of systems to choose from. How do you pick the right one for your organization?

Figure It Out

Like anything else, you have figure out what you want the system to do. CRM systems are great, but they are not magic. They will not adjust to every situation that may arise. Get suggestions from a focus group composed of a cross-section of people from all the departments. This is so that you have a very long list of needs and requirements. You then prioritize this according to their importance. Doing this immediately weeds out the systems that are not in sync with your situation. It also encourages your team about the CRM system that you will pick in the end. At the end of this stage, you should already have two or three CRM systems for final consideration.

Gather Input

The next thing to do would be to try and get input from existing users of these different CRM systems. This helps you greatly in making an informed decision. When you do consult these people, use your list of needs. Ask as many questions as you possibly can. Particularly ask about what they do not like about the system that they are using. The great thing is these people do not have an ulterior motive. They will probably give you very honest answers.

Make an Educated Decision

After all that, decide on the system you will obtain. You should then form a CRM-specific team to handle the integration. This should help to smoothen out the process. The CRM team should have a technical person and a company process person among others. Be sure that this team contains people from all the relevant departments as well.

Customize The Way You Want It

When you finally get the system in place, it is generally a good idea to start customizing the system to the company’s needs. Great care should be applied to this particular process. The team should have all the opportunity to get this right. They should always keep the original priorities in mind. At the same time, they need to keep the system as simple and as straightforward as possible.

Learn It, Live It

Next, you will want to develop and implement a training program for the system. The CRM team must successfully transfer their knowledge to the rest of the organization. People must use the system correctly in order for the company to gain a net benefit. Then, when all is in readiness, you can actually roll out and implement your system. After about a week, you should then conduct a review. Check for correct usage and whether the requirements are actually being met. This step may actually the hardest because most people are resistant to change. They may actually have an unknown bias that even they are not aware of. Nonetheless, all these steps should help you better implement your CRM system.
