Medical Practice 101 - Why Should Doctors Hire A Virtual Receptionist?

Your practice is booming; appointments are scheduled out one month in advance. Your daily scheduled patient timeslots are stacked together much like a master mason carefully considers placement for each brick when building a brick home. You’re running a tight ship, but with the steady influx of business; any little thing can send this well oiled machine, which is your practice, into a chaotic spiral; adding stress to your life, causing your office staff to become irritable and inevitably it will negatively affect patient service. Having a busy medical practice is only one of the many reasons why doctors should consider hiring a virtual receptionist.

Circumstances can change from day to day; office staff can call in sick, patients arrive late or fail to show up at all for scheduled appointments. In addition to that, there are the unfortunate cases where your office staff will just up and quit; sometimes for no apparent reason and without warning. As a doctor, these types of situations can easily cause a good day to take a turn for the worse, and cause unneeded headaches for not only you, but your patients as well. With adequate customer service being the backbone of any successful medical practice, or business for that matter; any measures that can be implemented in order to “normalize” order, even on chaotic days, can be a godsend for your practice.

It is days like these that a virtual receptionist could “kick in” and help you to maintain order, even if you’re severely understaffed. Depending on what type of virtual receptionist you’ve decided to work with, some are well known to be able to handle simple tasks like appointment scheduling and appointment confirmations; some even handle appointment cancellations. How much more efficient would your practice be if even some of the mundane tasks that your office receptionist regularly had to complete everyday could be accomplished by a virtual receptionist? If you’re a busy practice, a virtual receptionist could perform the functions of office workers, or just enhance the ability of your current office staff so that you, and they, could spend more time catering to other patients’ needs.

While most virtual receptionists are not designed to replace your current office staff; the effective ones are designed to help with the workload overflow; the phone calls that cannot be answered because all of your office lines are busy or even because your office has closed for lunch. A virtual receptionist can be available when your office staff isn’t, and they are much more “patient friendly” than an answering machine or even a phone that rings insistently without any answer or a way to leave a voice message. Some tasks, such as scheduling or rescheduling and appointment can be completed by some virtual receptionists; tasks that can be completed in the background while you and your office staff is away or catering to the needs of other patients. Think of how much not only you, but your existing patients, would benefit from being able to schedule an appointment; whether your office was open or not. For most practices, this would offer huge advantages and increase patient satisfaction tremendously.

Hiring a virtual receptionist for your practice might be the best long term decision you could make for your business. Not only will it make your life easier, it could increase your patients’ satisfaction as well.
