Make Time Sheets an Effective Part of Your Business

Time sheets may seem like a hassle for a business but they don’t have to be. Instead they can turn out to be one of the most valuable tools you have about production levels and time management of your employees. Not only will using time sheets save you money but it will allow you to keep your employees happy.

When you consider using time sheets in your business you need to think about what you want to get from them. What data on them is going to assist you with evaluating how well your business is doing? Some time sheets have the start time and end time of employees on them. All this really tells you is how many hours they put in that day. It doesn’t tell you anything about the work they did or how many hours they spent doing it.

A better solution with time sheets is to have columns for different types of work. That way you can see how many hours of their day are spent on each type of activity. You may be surprised to discover that certain tasks are taking a lot longer to complete than you expect. This could be an indication that your business has grown and you need to break out responsibilities more. It could also be an indication that the employee isn’t being productive enough.

You can ask your employees to submit their time sheets at the end of each day. This may not be efficient though depending on the type of work that is being done. You may decide you only want them to turn in a time sheet every week or every two weeks. If it is an office setting you can even allow them to email them to you on a given day.

In order to get the most benefits from such time sheets you need to make sure everyone understands how to use them. That way you can be sure the information on them is as accurate as possible. Training also helps to ensure that you spend less time chasing people down to get them to make corrections.

If you buy a software program you want to have the ability to customize the time sheets. That way you can get the most out of them for your particular business needs. Since those needs may be different a year from now you don’t want to be locked into just one particular format either. You may need different formats for employees that do different types of work. You might also want to have different time sheets for different divisions or groups.

You will find many of the best time sheet programs out there offer templates to make your job easier. Once you find a particular layout that you like incorporating that template is extremely easy. Make sure the entire system is very simple to use. You want to be able to access every single aspect of it without too much trouble at all.
