The software that you choose to run your school with will be the heart & soul of your school management activities. From monitoring students, to managing your daily and monthly bills, there isn’t anything that shouldn’t be watched and managed with this software. Don’t make this decision lightly and try to see the inherent value in the product, not just the bottom line price.

First and foremost, it has to manage your students. Track their attendance, rank, tests, schedule, family members, friends, referrals, contact info and billing info. Some schools will need more and some will need less, be sure you know what you need before you make your decision.

Next, your software should help you manage retention rates. It can do this once it has all the information about your students, their attendance & their recent progress. Simple reports will let you know what students are starting to slip in attendance or haven’t progressed in their belt rank for quite some time. You’ll know to pull these students aside and see if there’s a way you can re-motivate them.

Notifications are an essential part of running any business and this software can keep your students up to date in a few different ways. First and foremost is email notifications that can go to the students or to their parents. There are also the options of automated phone calls and text messages to cell phones if you really need to get urgent word out, such as unexpectedly being closed for a day.

In the areas of helping you attract new business, your software can be set to automate promotions & specials amongst your students. For instance, let’s say you offer birthday parties at your school. (If you don’t yet, you should!) Set an automated email to go out to parents 60 days before a student’s birthday offering the party and details about it. If they throw the party, you then put all the party-goers into your software as leads and associate them with the student that invited them. Now your automated emails can go to potential students and you can track if they signup for any referral programs you offer. This is just one example, but the sky is the limit.

As you look into what martial arts software you’re going to use for your school, don’t look at the price but at the inherent business advantages it will give you. If it helps you retain just one more student, or helps you attract just one more, it has already paid for itself. Every additional student you gain or retain is extra profit that your software has made FOR you.
