How to Wrestle an Alligator With an 800 Number

Ok, this might sound just a little bit corny, but I used to envision my business as an alligator (I actually had a name for him - Bruiser). The reason is because I felt like I was always wrestling with him in order to make progress and accomplish simple tasks! "Bruiser" because difficult to handle at times, until I figured out how to tame the beast.

Then, I found an 800 number system that gives me the ability to manage my business better than ever. Here is how it works:

I have a toll-free 800 number that rings into my main local business phone number. It provides free contact for those who need to reach me for business purposes. All calls are answered by an Auto Attendant which gives the caller options. Mine are 1) Sales, 2) Customer Service, 3) Billing, and 4) dial-by-name directory.

Simple enough, right? But there's more. The sales number gives the caller an option of hearing information about my products or talking to a live person. That lets them know that they are important to me as a potential client. Most of the time, my callers want to talk to a live person, but sometimes, I find that they go through the menus to find what they need.

The customer service number provides my callers with the opportunity to hear some common issues that they might be experiencing in order to help them immediately and get them on their way. It is used more than you might think. But there is also the option of speaking to someone.

The billing option gives some basic instructions for asking about a bill or making a change in contact name or information. This is great because it allows me to handle these changes and tackling billing questions at a pre-determined time of the day. The callers also have the prerogative of choosing to speak to a live person.

While my business is not large it does not take a large business to be able to benefit from a dial-by-name directory. Imagine having to handle and route all of the phone calls in a day for just a five person operation. That alone makes this 800 number and system worth the price.

Finally, the best feature of this system is what is called "Follow Me" routing. If a person chooses to talk to a live person, then that call is routed to a desk extension first. If they do not answer, then the call is routed to a company cell phone. If that call is not answered, then a home number can be programmed to be contacted next, followed by the final option of leaving a message in a voice mailbox.

This is how businesses operate today. Fast, efficient, and responsive. No longer do I feel like I am wrestling my pet alligator, Bruiser. No, I conquered him a long time ago with this 800 number and system that keeps my business on the road to success and from falling into the jaws of defeat. You can, too.
