Using Construction Software to Manage Projects More Efficiently

The construction industry continues to perform well. Vendors in the $5 million to $100 million market have worked hard to add the latest and greatest project management features to their products. They understand that contractors require these features to improve efficiency and that if their software doesn't include the features that project managers need, they'll find their software elsewhere. Subscribing to industry best practices can help organization improve workflow and give more information and control to multiple people working on the project.

However, the biggest benefit of a good construction project management software solution is not that it makes managing a paper trail easier. Modern software equipped with real-time reporting is quickly replacing the old method of using on the job time sheets to track job labor. The days of waiting for payroll to get processed to get a better idea of project costs are being replaced with days of knowing exactly what the current project cost is. This kind of robust data provides a much more accurate budget analysis and better reporting features that allow managers to make the most informed decision at all times.

Further, construction management software can also be used to better track the inevitable changes that arise on nearly every job. Change orders, RFIs and submittals can all be created and tracked in some of the recently developed construction project software. Many of these special documents require approval from one or more managers, and the software used can help route them to the right staff in the most efficient manner possible. Project managers can also use the software to create "to do" lists for staff that will allow them all to see the current progress of a certain task.

Many companies also use their project management system as a place to store electronic copies of important documents. All documents stored in the system can be attached to any transaction record that will allow an easy way to look up and answer questions should they arise at a later time. Therefore, if a company received an invoice that had a different price on it than the original Purchase Order, they would be able to look in the system to find the original and have a supervisor review and send the original purchase order back to the vendor. Finally, users of the system can opt to instantly update the project's budget when orders are changed or requested, giving them the most accurate data in real time.

Construction software can also be used to track job schedules via Gantt charts. Using the same technology, users can make notes about job scheduling that include a live link to the record of job costs for that job. These records can easily be sent to project managers who can act on the data. This kind of technology used to only be available in the most expensive pieces of software, yet today it is much more affordable and readily available.

Finally, if you operate a mid-market company, you may benefit from new tracking features that are a part of most new construction software. The software can be use to track small tool usage and cost as well as creating work orders from the field. Invoicing and payment collection features are also available. Combined, all of these features may be exactly what a smaller mid-market company needs to improve their operations to the point that they become a bigger player in the market.
