An Etiquette Guide For Sending Business Thank-you Notes

Thank-you notes are a must for any business and should be a staple in your business stationery. And as such you should know how to compose an appropriate thank you note for any business occasion. It’s not hard and if it is done correctly a thank-you note can have a tremendous impact with your clients and colleagues.

Thank you for your business

When ever you get the chance, you should send a corporate thank you note to your clients. You don’t need to do it every week or even every month but maybe every quarter. Use your corporate stationery to send a thank you, but it is also acceptable to use a stylish and appropriate thank you note that is not part of your corporate stationery. Just make sure your note is short and sincere and it will be well-received.

Thank you for referring a client

The greatest gift your clients, colleagues and friends can give to your business is the referral of another client. Make sure you send a special thank-note for anyone who has referred a client to your business. Not only should you send a note on your corporate stationery but you might consider an appropriate gift, also.

Thank you for celebrating with us

After you host a corporate event, you should consider sending a thank you to those clients, potential clients and colleagues who came to celebrate your move, milestone, new product or special occasion. Pick some special business stationery and write a ‘thank you for celebrating with us’ note. Not only is this an elegant touch, but your guests will be delighted that you’re thinking of them

Wording your note

It’s important to send a thank you note, but it is even more important to put the right words in your corporate thank you note. Your note should, of course, say thank you and actually not much else. Think of your note in three sentences:

1. Thank you for celebrating with us, referring a client, etc.
2. Your business/friendship/referral means so much to our company.
3. I’m looking forward to working with you again/a long successful relationship etc.

And that’s it. Your corporate thank you doesn’t need to be too specific or too long to be effective. If you need to discuss more detail than this, consider a lunch or a meeting. Keep the note short and sweet.

Write don’t tap and click

A corporate thank you note to your client should always come in the mail or be hand delivered. The corporate world is more and more becoming an electronic and paperless world, but this should not replace your hand-written thank-you note. An email thank-you can be perfectly acceptable for a colleague or a vendor. However, an email will never replace the grace and style of a thank you note. A thank you note shows that you took the time to sit down and write a note, not just tap out an e-mail in between meetings and phone calls.

Whatever your occasion, a thank you note is always appropriate. Impress your client with a well-worded and well-timed thank you note and you’ll have loyal clients for life.
