From Paper to Document Conversion Successfully With Project Management

Every business wants to be able to find any document in question as quickly as possible, but going from a storage room full of archived documents to a complete document management system is a lot of work.

Trying to wrap your arms around the process is just the beginning, and sometimes that never happens. Project management is the only answer; find a company that has extensive experience in the document conversion process from start to finish.

Project organization: The first phase that needs to be worked out is organizing how the project will flow as well as understanding the amount and types of documents your business has to convert. This includes all levels of user access and categorization. How the project will flow is vitally important to both parties, it is where the expectations are created and communication begins.

Information Capture: In a nutshell this is the process of scanning the paper documents in to a digital format. Depending on the amount of documents your business has to start with will determine the capacity needed. High volume scanning will lead to an easier conversion with faster document intake and more reliable recognition technology.

Advanced Recognition Technology: Make sure the company you choose to work with provides top-of-the-line recognition software for the conversion process. This technology is where the software translates the scanned document in to letters and words in a digital file, like Word for instance. If the technology used here is low quality then someone will have to spend hours verifying every document for accuracy. And that will take a very, very long time to recover your costs on a conversion project.

Workflow: The new document management software selected should integrate to your existing workflow to insure the program is used with minimal changes to your current methods. The most appropriate software will have been discussed in the project organization phase based on the outline of your current workflow was detailed.

Although there are out-of-the-box solutions you may find that there are some customizations your business needs in order to best suit your business flow. This step is also an opportunity to integrate some new policies to add efficiencies to your organization that previously were not possible. Make sure you talk about any problems with your current workflow so that your project management company can create solutions when implementing the workflow software.

Database Integration: Most companies have an existing system that stores new information, or maybe partial information. This is also an important piece of information for your project management team, so they can determine how to integrate the converted data seamlessly in to your current system. You can also have an indexing option implemented allowing employees to find archived documents with the click of a mouse.

If you are starting from scratch, meaning your business has not existing document storage system; your project management company will have a solution that will work with your workflow application to tie your entire business together.

Document conversion project management brings the experience to handle all of these aspects to the table, along with solutions to work within your existing business structure. It saves money in the long run if you take the time to evaluate your options and select a company with a proven track record.
