Things To Look For In A Fax Machine

Like every other type of technology these days, fax machines have become a fairly complex piece of machinery. Back when their popularity first began to rise, they were pretty simple in terms of features. There was a phone pad and a send button and a place to put the paper (remember thermal paper!). Now the types of fax machines available are as diverse as computers and printers. Then there are the hybrids to help confuse things even more.

The question then becomes, what is you need the fax machine to do for you? Let’s say you are an occasional faxer. Once in a blue moon you will have the urge to fax a resume, a letter or another type of document. If you’re this kind of person then a hybrid printer is probably all you need, if that. This kills two birds with one stone. Shop based on what kind of printer you like and then make sure it can fax. Whatever features the fax system has or doesn’t have won’t concern you. “If that,” means that you can likely just plug your computer into the phone line and use any fax software you can get your hands on. For infrequent receiving of faxes, this works too.

For more frequent fax users there are other things to consider. Here are some of the more popular considerations. When you fax, do you fax single page documents or do you often have to send multi-paged faxes? If it’s the latter then you will want to have an auto feeder. Do faxes generally go out to individuals or are there regular groups that receive from you? Almost every fax machine these days will have a “phone book” to store numbers, but you may want to find one that let’s you send to pre-made groups at the push of a button. That saves a lot of time.

If you don’t have a dedicated fax phone line you’ll need a machine that can easily share a line. In this situation, or if you send a lot of faxes throughout the day, you will want a system that can transmit and receive data quickly. Speed does matter.

Other than that, you should think about what kind of documents you send and receive. Not all machines are color and not all color is created equal. Once you’ve thought all of these things through, your shopping trip should go a lot smoother.
